Team Secretary
Stockton on Tees, Cleveland, North East
Salary depending on experience
We are a recruitment agency and we are currently recruiting for a Team Secretary for our client based in Stockton on Tees area.
The successful Team Secretary will be required to carry general administrative functions for the team including:-
· Maintain a constant telephone answering service for appropriate personnel whenever they are absent from their own telephone.
· Arrange meetings, meeting rooms, catering requirements, travel requirement for travellers incorporating itineraries, expenses, transport, accommodation, passports and visas.
· Maintain personal communication with all personnel.
· Manage the team administrative support provision
· Maintain flexibility for carrying out other tasks within the operation at all times.
· Carry out any specific tasks as required by the operation in the pursuance of meeting the business needs.
· Act on behalf of absentees in a general manner during their absence.
· Act as a liaison point between various worldwide offices especially during the absence of staff whilst they are overseas.
· Manage diaries and meetings, ensuring all travel arrangements are in place and communicated
· Manage all incoming mail
· Assist in the implementation of QA procedures and processes within the team
· Develop and manage systems and processes necessary for co-ordinating, managing and measuring business requirements (proposal management, recruitment, and key business metrics)
· Ensuring all appropriate approvals are obtained for travel, expenses, purchases etc.
· Developing and maintaining staff information - group handbook, agency contracts, review and appraisal meeting dates
Qualifications, Skills and Experience:
· A working knowledge of a variety of software packages including Word, Outlook email and diaries, Powerpoint, Excel.
· Secretarial typing speeds not required, but a level of computer and keyboard fluency essential
· Academic qualifications equivalent to "O" Level Education - "A" level prefered. Demonstration on numeracy and literacy, including good command of grammar essential
· The ability to administrate, develop and organise systems.
· The ability to liaise at all levels and to work within tight time-scales
· Mature personality, able to work within requirements of confidentiality
· Able to work outside working hours as required to meet the needs of the business
Additional Information:
Flexibility required to attend off-site meetings as required, including visits to the Warrington office.
