Job Description: Proactive approach to Office Management with excellent organisational skills, as well as the ability to forward plan - to prevent future problems in the overall running of the office, where potentially avoidable. The general point of contact & overall coordinator for any office related issue. Office Management:- ��� Management of office overhead budgets in liaison with Finance Manager ��� Overseeing lease agreements on office equipment ��� Liaise with Landlord & contractors regarding building maintenance ��� Responsibility for IT systems - including daily server back-ups, as well as quarterly systems reviews with external IT support company to guarantee smooth daily running of the network, as well as to ensure plans are in place for keeping the network up to date and able to meet the future demands of the Company, including reviews of internet speeds and network capacity ��� Overseeing maintenance and contracts of office equipment, to include photocopiers, microfilm readers, mobile phones, fax machine, franking machines, security systems ��� Overseeing external contracts for cleaning, servicing, Insurance and security of the office ��� Responsibility for Phone systems - overseeing maintenance, updates, setting up conference calls; training for staff, as well as reviewing regularly to ensure current configuration is still correct for the smooth running of the office ��� Continuing the improvement of the office environment. ��� Seeking ways to improve cost effectiveness of key office contracts ��� Initiating cost effective ways to reduce the carbon footprint of the office ��� Office procurement - from Office furniture & equipment (including computers, servers, phone systems, desks etc.) to office stationery & staff refreshments ��� Keeping stationery cupboard stocked; ordering new stock where appropriate; maintaining a stock of company letterhead and compliment slips ��� Dealing with incoming general enquiries (post, e-mail, fax) ��� Managing allocation of switchboard. Ensuring calls routed appropriately, taking messages where necessary ��� Ensuring post is franked and ready for collection; taking deliveries and distributing accordingly; dealing with couriers ��� Greeting guests (ensuring they are taken to the correct office and relevant people are informed. ��� Keyholder Responsibilities ��� First Aider ��� Storage facility maintenance
