Job Description: Purpose: To provide administrative and secretarial support to the Human Resources department, ensuring efficient, accurate and confidential provision of management information. This role will manage and maintain the HR database and produce employee reports and Company wide standard communications. Specific Accountabilities § Provide information and support to the Director Human Resources UK Shared Services, as requested § Provide administrative support for the HR department, producing correspondence, reports, minutes, etc., and presentation materials. Answer telephone queries, arrange meetings, control use of conference/training rooms as required. Maintain HR policy/procedure, terms and conditions of employment, and induction documentation and company forms/templates as required. Maintain HR department attendance records. § Provide information and support to senior management, line management, company employees, and Meggitt Group personnel, acting as an interface within the Human Resources function. § Maintain employee records, including salary information, with appropriate confidentiality, from recruitment through induction and career development to eventual leaving, including maintenance and update of departmental files and records. § Assist in administration of internal vacancies/transfers and external vacancies, including coordination of job interviews. § Assist in administration of job advertisement process, including liaison with recruitment and advertisement agencies. § Assist in the administration of absence reporting § Assists in the provision of organization charts § Provides support for payroll administrator as required § Produce relevant offer pack information; perform liaison on screening, and new starter processes. § Help administer company benefits schemes. § Provides administrative support related to the preparation, generation and distribution of management reports etc., actively participating with members of the team/departments to ensure requested information is available on time and set deadlines are met. § Provides a single point of contact and control for the office of the Director presenting a professional representation to external and internal contacts at all levels. § Provide administration assistance with key skills training/ individual training requirements & plans/ organisation of management development training courses. § Provides administrative assistance and direct support in the preparation of documents for starters, leavers, inductions, retirements, and maternity leave including exit interviews, retirement and maternity meetings. § Assist in administration of communications with employees, employee representatives and recognized trade unions. § Contribute to administration of HR systems for monitoring workforce absence and sickness levels, using associated HR policies. Help administer company employee welfare policies. § Assist with administration of organisational change, possibly including restructuring/downsizing/redundancies § Operate in accordance with employment law, and with company procedures including HR policies/ procedures/ guidance/ standards. § Receives, and processes correspondence from internal and external sources . § Maintains diary for meetings and appointments internally and externally, including arrangements for overseas/UK travel itineraries § Takes dictation and compiles e-mails, faxes, letters, memos, reports and confidential correspondence for the Director. § Receives, and processes correspondence from internal and external sources . § Maintains diary for meetings and appointments internally and externally, including arrangements for overseas/UK travel itineraries. § Takes dictation and compiles e-mails, faxes, letters, memos, reports and confidential correspondence for the Director § Administrates Time & Attendance System for the area, including provision of reports and data requests. § Carries out other duties as assigned. Technical Requirements § GCSE level education or higher and /or CPP (Certificate in Personnel Practice) preferred, or equivalent. § Previous administrative and secretarial experience, preferably in a manufacturing/engineering environment. § Excellent organisational and planning skills. § Ability to appropriately handle confidential and sensitive employee data, and situations. § Excellent verbal and written communication skills, able to deal with people at all levels internally and externally to the company. § Knowledge of, and experience in use of, the HR database interfaces to the company SAP system would be an asset. § RSA II or equivalent typing skills, and good PC skills, particularly advanced Powerpoint, Excel and Word, are required
