Job Description: Our client, a company based in Colchester is currently recruiting for an administrative assistant/receptionist to join them on a 6 month contract. The position is working Monday - Friday, 9am - 1pm.
Purpose of the role:
To provide comprehensive administrative support to the Administration Team and to manage the central filing system.
To welcome visitors in a pleasant and polite way. To ensure that all visitors proceed through the building with appropriate documentation.
To provide secretarial/administrative duties as required for the office manager.
Key tasks & responsibilities:
To arrange taxis for clients as and when required.
To sort incoming mail, and dispatch outgoing mail.
To provide a general secretarial service to the office manager.
Fire Warden duties.
Prepare notes from meetings, maintain smooth movement on files, provide full administrative support for the Administration Team.
Prepare daily notification of the next days activities for circulation around the building.
Functional knowledge:
Administrative skills required.
Willingness to learn about the products the company offers in order to provide information to staff and visitors.
Health and safety procedures.
Knowledge of Data Protection and the need for confidentiality at all times pertaining to all aspects of the business of the company.
Problem solving:
To be pro-active in problem solving on a day-to-day basis regarding booking treatment, etc, and file management. Being able to resolve clients problems tactfully, diplomatically and successfully. Suggest improvements to the reception services.
Interpersonal skills:
Excellent communication and interpersonal skills required in order to deal with both staff and visitors/patients. A close working relationship with the staff providing file management support.
Excellent teamwork approach, willing to change duties and cover for other administration staff.
Tact and diplomacy.
Respect and confidentiality at all times.
You must have good working knowledge of Microsoft Word, Excel and Outlook and databases. Previous reception and administration experience is essential.
You must be a good communicator, careful and caring so as to be able to deal with a variety of situations.
You must be able to prioritise workload and be willing to assist other members of staff as and when required.
Speed and accuracy with attention to detail of paramount importance, calm outlook, discrete, adaptable, sense of humour, capable of lateral thinking and good recall.
